Job Description

Objectives of the Role:
•Provide administrative support to executives, managers, and team members, including managing calendars, scheduling appointments, and coordinating meetings.
•Handle incoming calls, emails, and correspondence, directing them to appropriate personnel, and responding to inquiries as needed.
•Maintain organized and up-to-date records, files, and doents, ensuring easy retrieval and confidentiality.
•Prepare, edit, and distribute memos, doents, reports, presentations, and spreadsheets with accuracy and attention to detail.
•Assist in planning and executing company events, meetings, and conferences, including logistical arrangements and coordination.
•Manage office supplies and inventory, placing orders and maintaining stock levels to ensure a well-equipped office environment.
•Maintain company ledgers and daily financial transactions.
•Create financial doents such as bills, invoices, pay orders, payables, receivables, and purchase orders.
•Coordinate and manage payment and billing details of external service providers, contractors, and vendors.
•Verify payments and deposits made through the company account and coordinate with the bank.
•Create daily reports for management and team members.
Required Skills and Qualifications:
•Bachelor’s degree in business administration, Accounting, or Office Management.
•Demonstrable experience as an accountant, administrative secretary, executive assistant, or similar role with a minimum of 2 years in administrative support.
•Strong organizational, multitasking, and time management skills, with the ability to prioritize tasks and meet deadlines.
•Excellent written and verbal communication skills, with attention to detail and accuracy.
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software (please specify the software you use).
•Ability to work independently and collaboratively in a fast-paced and dynamic environment.
•Professional demeanour and strong interpersonal skills, with the ability to interact effectively with all levels of the organization.
•Knowledge of basic accounting and bookkeeping procedures.
