Job Description

We are seeking a reliable and organized Admin Assistant to support the day-to-day operations of our car rental company in Dubai. The ideal candidate will have strong organizational and communication skills, with a keen eye for detail and the ability to handle multiple tasks in a fast-paced environment. The role also involves handling accounts-related tasks using Microsoft Excel and CRM systems.

Key Responsibilities:•Customer Support: Assist customers with inquiries, booking requests, and complaints, ensuring a high level of customer service at all times.•Reservations Management: Process car rental bookings, confirm availability, and ensure that all paperwork is completed accurately.•Doentation: Maintain and organize all rental contracts, insurance doents, and vehicle maintenance records.•Office Support: Handle general administrative duties such as filing, data entry, email correspondence, and managing office supplies.•Accounts Handling: Support the accounts department with invoicing, tracking payments, reconciling financial records, and maintaining accurate transaction logs using Excel and other office tools.•CRM System Management: Assist in managing customer data and rental records through the CRM system, ensuring up-to-date and accurate client information and rental history.•Vehicle Coordination: Assist in monitoring vehicle availability, ensure proper check- procedures, and track vehicle status (rented, available, or under maintenance).•Billing & Payments: Prepare invoices, track payments, and assist with financial record-keeping as needed.•Coordination with Other Departments: Work closely with the sales, maintenance, and operations teams to ensure smooth day-to-day activities.

Requirements:•Proven experience in an administrative role, ideally in a customer-facing or rental business.•Strong communication skills, both written and verbal, in Urdu,English, Hindi(Arabic is a plus).•Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
•Experience handling accounts tasks such as invoicing, payments tracking, and financial record management using Excel.•Experience using or familiarity with CRM systems to manage customer interactions and data.•Strong attention to detail and ability to prioritize tasks effectively.•Customer-focused with excellent problem-solving skills.•Ability to work in a fast-paced environment with a positive attitude.•Knowledge of the car rental industry or UAE driving regulations is a plus.

Preferred Qualifications:•A background in hospitality, tourism, or vehicle rental is an advantage.•Familiarity with rental management software or CRM systems.•Previous experience in a similar role within the UAE market is advantageous .
