•Registering all incoming and outgoing correspondences, Drawings & technical submittals.
•Maintaining a register of all incoming and outgoing mail, stamping and recording of mail before circulating for distribution.
•Responsible for Contr of complete project doentation such as incoming and outgoing correspondence, site instructions, change orders, Letters, staff daily report, Submittals and other forms of pertinent doents from the client, contractors and subcontractors.
•Responsible for receiving, logging and distributing all technical doents and assisting in coordination and monitoring of administrative activities to facilitate and expedite the work flow.
•Set doent control filing system.
•Maintaining all files within the Filing Department.
•Maintaining all tracking records and ensuring that they are initialed when a file is taken from the filing room.
•Maintaining all Tender Doents and ensuring originals are not take from the filing room.
•Keeping all files in a tidy condition.
•Collecting doents regularly, recording and sending for distribution to the individuals concerned, photocopying / scanning if it is marked for someone’s urgent attention and sending them accordingly with a copy to the Manag manager.
•Implement and maintain a coordinated and consistent filing system; ensure that all filing is up-to-date.
•Co-ordination between Clients & departments for facilitating doents workflow and ensure doents status to be closed.
•Follow-up with team members and others for “open” status items to be closed down.
•Maintain Electronic-transmission of doents
•Data input to database related to doent receiving & tracking doent.
•Coordination with the respective Managers, Secretaries and other staff to ensure correctness of the records.
•Archiving contra doents
•Maintain Archive section up to date.
•Successful closeout and handover of doentation as required by line manager
•Regular periodic backup (electronic copy) of doents
•Other duties as requested from time to time.
•preferable a bachelor’s degree in Mechanical Engineer or in Computer Science, Business Administration or similar field.
•Excellent communication skills and interpersonal skills.
•Detail oriented as well as organized, and multitasker
•Time management skills
•Ability to follow company procedures
•Can work independently without much guidance
•Ability to engage and communicate effectively (written and verbal) with stakeholders at all levels
•Strong MS Office Skillset.
•Minimum two (2) years’ UAE work experience.
•experience in doent management, archive management, or records management.
