The Office Assistant
Responsible for variety of Office Support duties including carry out office maintenance for the Company.
Duties and Responsibilities are as follows:
1. Administrative duties:
• Answer, screen and forward any incoming phone calls while providing basic information when needed. Take note of all Callers contact information should the concerned person is not around.
• Receive and serve visitors by greeting, welcoming, directing and announcing them appropriately. Prepare refreshments for visitors (water, coffee, snacks) and for staff during meetings.
• Supporting departmental staff by scanning, photocopying, encoding and general filing upon request.
• Managing inventory of office supplies, by making requisitions for kitchen sundries and office stationery weekly and ensuring adequate stock. Submit requests for all utilities needed early to the line Supervisor.
• Ensure that the office is constantly running with enough toiletries in the washroom, general office (e.g., doormats, cleaning cloths and dusters) and kitchen accessories.
• Accountable for all office Equipment (ex. Printers, coffee machine, etc.) including requisition for ink replacements.
2. Office Maintenance:
• Perform cleaning functions as required, including mopping, sweeping, dusting and polishing as well as washing doormat when necessary.
• Keep office rooms, kitchen, and toilet clean, organized and hygienic.
• Empty and clean wastepaper baskets, garbage bins; transporting waste material to designated garbage room in the floor daily.
• Ensure that the Office compound and facilities are always clean and report instances of misuse or damage to the line Supervisor immediately.
3. Logisti Maintenance:
• Assist in handling logistics as directed by the line supervisor or senior staff.
• Receive, sort and distribute office lett to the appropriate staff.
• Assist in transporting, organizing and labeling of materia for Office Storage.
• Facilitate packaging of samples for outgoing shipment.
4. Other Administrative duties as may be assigned.
Education and Qualifications:
• Completion of Secondary Education.
• Preferably with working experience in a similar position.
• Ability to work with computers. Sufficient knowledge of Microsoft Office Programs
• Secretari Assistant background will be an added advantage
• Proficient in spoken and written English
• Should be Hardworking and have initiative
